How to disconnect or delete your CoordOS data.
TL;DR
Your Google Drive contents (the canonical record of everything CoordOS knew, decided, and produced) stay in your Drive. We delete our copies. You can leave at any time without notice.
How to disconnect a single service
QuickBooks Online:
- Sign in at app.coordos.ai
- Go to Settings → Connections
- Click Disconnect next to QuickBooks Online
- Confirm. Tokens are revoked immediately at Intuit's authorization server within 60 seconds. Agents stop reading QBO immediately.
Google Drive / Gmail: same flow at Settings → Connections.
WhatsApp: Settings → Connections → WhatsApp → Disconnect. The phone number is released back to Twilio. Inbound messages will start to bounce after 24 hours.
You can also disconnect from the provider's side:
- QuickBooks: log into QBO → Apps → "My Apps" → find CoordOS → Disconnect
- Google: myaccount.google.com/permissions → find CoordOS → Remove access
- Meta WhatsApp: WABA owner can revoke our Tech Provider link in Meta Business Manager
Our backend listens for revoke webhooks from Intuit and Google and immediately stops all agent activity for the affected tenant.
How to cancel your account entirely
- Sign in at app.coordos.ai
- Settings → Billing → Cancel subscription
- Confirm. Effective immediately for the trial tier; effective at the end of the current billing period for paid tiers (or immediately, with prorated refund, if you choose).
You can also email support@coordos.ai with the request — we will act on it within 1 business day.
What happens to your data on cancellation
Day 0 (cancellation)
- All OAuth tokens revoked at Intuit / Google / Meta
- All agent activity stops in your tenant
- Your Drive
CoordOS/folder remains in your Drive, owned by you. It contains every extraction, approval, learning, report, and audit log we produced. We do not modify, move, or delete it. - Your QBO data was never copied to our database; it stays where it always was: in your QBO.
- Read-only access from app.coordos.ai is preserved for 30 days for data export.
Days 0–30
- Self-service export available at
app.coordos.ai/admin/export(returns ZIP of operational data: chat history, approval queue states, calibration logs scoped to your tenant, audit ledger). - Anonymous pattern library contributions REMAIN (per Privacy Policy Section 8) but cannot be tied back to you.
Day 30
- Read-only access to
app.coordos.ai/admin/exportis removed. - All operational data in Firestore + Secret Manager + cold-tier BigQuery is hard-deleted within 24 hours. Confirmation receipt emailed.
Day 90 and beyond
- Audit log retention continues for 7 years total. The audit log contains only event metadata (action, timestamp, hash references), no document content. Your tenant ID is hashed.
- After 7 years: hard-deleted from BigQuery cold storage.
How to verify deletion
After day 30, email privacy@coordos.ai with subject Verify Deletion + your tenant ID. Within 5 business days we send a signed attestation email confirming deletion of the deletable categories.
How to delete data WITHOUT cancelling

GDPR Right to Erasure(orCCPA Delete Request) - We respond within 30 days with details of what we're deleting and what we're keeping (legal-hold or audit-retention exceptions)
- Note: deleting some categories may make CoordOS unusable. We'll warn before proceeding.
Your QuickBooks / Drive / Gmail data, untouched
We will never delete or modify your data in QuickBooks, Google Drive, or Gmail unless YOU explicitly approve a write batch that does so. We never have to clean up after ourselves there.
